stubby.app ("we", "us", "our") is a business management application for Australian tradespeople. We respect your privacy and are committed to protecting your personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. Information We Collect
When you use stubby.app, we may collect:
- Account information: your name, email address, and password when you create an account (via email/password or Google sign-in)
- Optional profile details: phone number, date of birth, address, city, and postcode — provided voluntarily during sign-up
- Business data you enter: client details, timesheets, expenses, invoices, quotes, jobs, mileage trips, and business settings
- Financial data: hourly rates, income amounts, GST/BAS calculations, ABN details, bank details (for invoice templates), and PAYG instalment amounts — entered by you for business management purposes
- Photos & receipt images: job site photos and receipts you upload, stored securely in Firebase Storage under your account. Receipt images are also processed via AI for data extraction.
- Device information: browser type, operating system, and general usage data for improving the app
2. How We Use Your Information
We use your information to:
- Provide and maintain the stubby.app app and your account
- Sync your business data across your devices
- Process receipt images through AI scanning when you choose to use that feature
- Send password reset emails when requested
- Improve the app and fix issues
We do not sell your personal information to third parties. We do not use your business data for advertising or marketing purposes.
3. Data Storage & Security
Your data is stored in Google Firebase/Firestore with security rules that restrict access to your account only. Data is encrypted in transit (TLS) and at rest. Local data is also cached on your device for offline access.
Bank details (BSB, account number, account name) that you enter for invoice templates are stored locally on your device and included in invoice documents you generate. They are not transmitted to our servers unless you use the cloud sync feature.
4. Data Breach Notification
In accordance with the Notifiable Data Breaches (NDB) scheme under the Privacy Act 1988, if we become aware of a data breach that is likely to result in serious harm, we will notify affected users and the Office of the Australian Information Commissioner (OAIC) as required by law.
5. Third-Party Services
stubby.app uses the following third-party services:
- Google Firebase: authentication, database (Firestore), file storage (photos/receipts), and hosting (Firebase Privacy Policy)
- Google Maps API: address geocoding for trip/mileage logging
- Google Gemini API: AI voice and chat assistant features — requires your own API key (Google AI Terms)
- Anthropic (Claude AI): receipt scanning and AI features, processed via our secure API worker (Anthropic Privacy Policy)
- Cloudflare Workers: API proxy for secure AI processing and email delivery (Cloudflare Privacy Policy)
- OSRM: open-source route calculation for trip distance (no personal data sent)
6. Your Rights
Under Australian privacy law, you have the right to:
- Access your personal information — all your data is visible within the app
- Correct inaccurate information — you can edit all your data directly
- Delete your data — use the "Delete All Data" function in Settings, which removes data from both your device and our servers
- Export your data — use the backup/export features within the app
7. Data Retention
We retain your data for as long as your account is active. If you delete your account or use the "Delete All Data" function, your data is permanently removed from our servers. Cached data on your device is cleared simultaneously.
8. Cookies & Local Storage
stubby.app uses browser localStorage to cache your data for offline access and store app preferences. We do not use tracking cookies or third-party analytics cookies.
9. Children's Privacy
stubby.app is a business application intended for use by adults. We do not knowingly collect information from anyone under the age of 18.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date. Continued use of stubby.app after changes constitutes acceptance of the updated policy.
